Time Management

There are many theories on what is the ideal way to manage your time. One of the more interesting methods is a way to prioritize your To-Do List. 

Many people keep a To-Do list, either in their mind, on paper , cellphones or computer.. Whichever way you prefer to keep track of your list is up to you.

Usually, when someone beings a to-do list, they just start writing down ideas and then work on getting them done in whatever order they were written. This is not the best way to approach creating a to-do list.

Here is what I recommend trying.

Step 1: Create your list of tasks

Example:

1. Create report on what was completed yesterday

2. Contact potential customer about your business services

3. Show new web based tool that will help the team to be more efficient.

Step 2: Under each task, rank the effort needed to complete the task and its outcome. Ranking would be 1 (low) to 10 (high)

Example:

1. Create report on what was completed yesterday

Effort = 10  Outcome = 2

2. Contact potential customer about your business services 

Effort = 1  Outcome = 10

3. Show the team a new web based tool that will help them be more efficient

 Effort = 4  Outcome = 8

Step 3: For each task, divde the Effort by the Outcome to get the Priority.

Example:

1. Create report on what was completed yesterday

Effort = 10  Outcome = 2  Priority = 5

2. Contact potential customer about your business services

Effort = 1  Outcome = 10  Priority = .1

3. Show the team a new web based tool that will help them be more efficient

Effort = 4  Outcome = 8  Priority = .5

Step 4: Now reorganize your list by lowest Priority number first.

Example:

1. Contact potential customer about your business services

Effort = 1  Outcome = 10  Priority = .1

2. Show the team a new web based tool that will help them be more efficient

Effort = 4  Outcome = 8  Priority = .5

3. Create report on what was completed yesterday

Effort = 10  Outcome = 2  Priority = 5

Now your To-Do list is organized in a way that you will be completing tasks which will be quicker to complete and they the greatest outcome for yourself, your team and your business.
